Jobs Responsibilities

  • Provide full secretarial support and personal assistance to the senior management, reporting to the Chief Executive Officer (CEO).
  • Managing e-calendar / travel diary / activities for the senior management, including coordination of appointments and client meeting setups.
  • Working closely with worldwide operational teams and clients to ensure that work schedules, meetings, tele-conference calls or video conferences are set up accurately with time difference.
  • Accountable for general day-to-day office management and duties, such as greeting visitors, answering the phone and other miscellaneous tasks.
  • Co-ordinates international client visits / staff from other global offices in hotel, travel services and meeting setups.
  • Manages external vendors on procurement of equipment, consumable supplies and IT maintenance contracts.
  • Oversee basic facilities maintenance, ensuring proper maintenance of office equipment
  • Replenishment of office stationary and pantry items.
  • New hires facilities set-up and orientation
  • Mail and courier handling.
  • Documents management.
  • Working closely with Building Management and Lloyds Asia on general office maintenance and cleanliness, as well as door security access.
  • Act as Fire Warden and attend briefing or meetings organised by the Building Management
  • Administering HR function (monitoring and maintaining staff annual leave and medical leave.
  • Payroll – Ensure accurate calculations of salaries including reimbursements, deductions, and rewards (if any).
  • Management of employee personal files.
  • Management of company benefits, insurance, etc. 
  • Liaising with Head Office in London in advertisement and marketing for Singapore office (sourcing and organising corporate gifts).


Job Requirements

  • Min. 3--5 years of relevant experience
